Office/Executive Assistant


Cognitive Capital, LLC is a proprietary trading firm that adds value to capital markets by providing liquidity through automated trading technology. Our quantitative researchers, portfolio managers, and software developers create and implement the algorithms and software used to execute the firm’s trading strategies. We foster an ethical, data-driven, and collaborative culture that focuses on building robust, scalable systems.


We are seeking a motivated team player with strong communication skills to support the administrative needs of our office by providing a welcoming, effective, and efficient office environment.  The successful candidate is a self-starter with effective organizational skills, is technologically savvy, has a passion for hospitality, is an effective problem-solver, enjoys creating processes and efficiencies, and has an eye for detail. Hours are 8:00 a.m. – 5:00 p.m. and the position is fully on-site.


  • Undergraduate degree preferred
  • Strong written and verbal communication skills
  • At least two years of relevant work experience
  • Highly proficient with MS Office
  • Detail-oriented and well-organized
  • Positive approach to helping teammates with projects
  • Demonstrated ability to use good judgment when handling sensitive issues

Office Administration

  • Welcome visitors, employees, and guests, notifying team members when their guest arrives
  • Place regular office supply and equipment orders
  • Maintain office appearance, keeping things clean and organized
  • Manage all incoming/outgoing mail and packages
  • Professionally answer main office phone line in a timely and friendly manner
  • Act as the main point of contact for the building, coordinating maintenance requests and communicating building updates to employees
  • Support the recruitment process
  • Manage employee Paid Time Off (PTO) and Work From Home (WFH) App
  • Assist with planning office team-building, holiday, and summer events
  • Manage Quantitative Researcher and Technology monthly lunch schedules
  • Coordinate office lunches for various meetings
  • Assist with management of accurate physical and electronic filing systems
  • Schedule, coordinate, and reserve travel for candidates and employees
  • Compose and prepare correspondence and other documents
  • Perform errands that assist daily functions of the office
  • Participate in ad-hoc projects, as needed


  • Process the American Express bill and supporting documentation on a monthly basis
  • Process employee brokerage account statements on a quarterly basis in accordance with the Firm’s Compliance Manual
  • Process and pay vendor invoices on a weekly basis
  • Ensure daily receipt and correct electronic filing of the Firm’s Supervisory Log

Executive Assistant

  • Manage calendars and schedule appointments
  • Arrange occasional travel
  • Handle personal matters, as needed
